Approval Follow-Up Guidelines

This procedure explains how to follow up with applicants after their approval to ensure they select a unit and place a deposit.

Steps:

  1. Follow-Up Timeline:
    • After sending the approval email, follow up every 24 hours (excluding weekends) for the first 5 days.
    • If there is no response after 5 calls, pass the prospect to the Backup Coordinator for continued follow-up.
  2. Contact Process:
    • Follow up with a call within 1 hour of sending the approval email.
    • If the call goes to voicemail, send a follow-up text prompting the prospect to check their email.
  3. Logging Communications:
    • All communications should be logged in the Master Spreadsheet and Propertyware under Notes & Docs​.
  4. Backup Coordinator Role:
    • If the lead becomes unresponsive after the first 5 attempts, the Backup Coordinator will take over communications until the applicant selects a unit or cancels their approval​.
