Procedure for Sending Denial Emails

This article outlines the procedure for denying an application, updating the system, and notifying the applicant.

Procedure:

  1. Updating Propertyware:
    • Search for the applicant in Propertyware and update their status to Application Denied.
    • Save the Adverse Action Notice with full denial details.
  2. Draft Denial Email:
    • Create an email to the applicant with the subject: Application - [Prospect Name].
    • Attach the Adverse Action Notice and bold the reasons for the denial.

Example body content:

Hello [Applicant Name],


Unfortunately, we cannot move forward with your application due to the following reasons:

  1. [Bold Reason #1]
  2. [Bold Reason #2]

Thank you for your time.

3. Document the Denial:
    • Save the denial email in Propertyware under Notes & Docs.
    • Update the Leasing Master Tracker under the Completed Apps tab. Ensure the status is marked as DENIED, and the denial details (date, time, reason) are properly recorded.

    4. Closing the Application:
Turn the denied application line red in the Master Tracker and log the reason internally (e.g., 2020 eviction, fake document)​.
